Your FMCSA record is out of date — what now?

Why it is out of date

The public census file is built from what carriers themselves report, mostly through the MCS-150 biennial update. Between updates it drifts: you sell three tractors, hire two drivers, move office. None of that reaches the record until you file again.

There is also a publication lag. A new USDOT registration takes two or three days to appear, and an update takes a similar time to propagate. If you changed something this week and it is not showing yet, that is normal rather than an error.

Which errors actually affect a filing

• Fleet size. This one decides your UCR fee bracket, so it is the error worth caring about most.
• Physical address and state. Decides your UCR base state.
• Legal name versus DBA. Filings go under the legal name; a record showing only the trade name causes queries.
• Interstate / intrastate. Decides whether UCR applies at all.

An out-of-date phone number or an old officer name is untidy but does not change what you owe.

Correcting a detail on our order form corrects our filing. It does not update your FMCSA record — nothing a third party types can. To change the record itself you file an MCS-150 update through the FMCSA.

So which number do I use for UCR?

Use the true one, and say why it differs. If your record says twelve vehicles and you run nine, you are entitled to register on the correct figure — but the basis has to be stated, because an unexplained downward adjustment is indistinguishable from underpaying.

Our form asks for that reason and keeps it with the order. If a state ever asks how the number was reached, there is an answer on file rather than a shrug. It also means you should update your MCS-150 — the reason we record is about this filing, not a substitute for fixing the record.

What we do when the record is incomplete

If the registry has no fleet count, no state, or no legal name for you, we say so rather than filling in a default. A missing count is not zero vehicles, and treating it as zero would quote the lowest bracket to a fleet that does not qualify for it. In those cases the form asks you directly, and if we still cannot establish the right fee we hold the order for review instead of charging you.

And if we say the registry is unavailable

That means the FMCSA data service did not answer us — not that your USDOT number is invalid and not that you are unregistered. We deliberately distinguish the two, because "we cannot reach the registry" and "you do not exist" are very different messages to show a carrier. Try again shortly.
